HIRING OF LONGTHORPE VILLAGE HALL FOR PRIVATE FUNCTIONS

This is just a summary

 

· The hall comprises two facilities that are available for private hire:

· The Main Hall can be hired for private functions and events, by individuals or groups for £40 per hour for 2022

à Included in the cost is all heating and lighting; use of kitchen facilities; toilet facilities; padded chairs along with 30 Go Pak tables, kept in the first store on the right in the Main Hall.

à The total capacity of the Hall is 100.This number must not be exceeded in any circumstances.

à Full sets of cutlery and white crockery may be included for your function at no additional cost (see photos)

à Hirers should book the Hall for start and end times to allow for set up and close down. Users should not arrive more than 15 minutes before the booked start time and should depart from the premises and car park no later than 15 minutes after the booked end time. This is important to avoid any traffic problems in the entrance and car park.

· The price does not include the Committee Room (maximum occupancy 22 or 16 seated), which can be hired separately for £10.50 per hour (2022 price)

· There is an entertainment license for singing, dancing and music. Alcohol may be brought into the premises but in those cases where alcohol is to be sold permission is required from the Letting Secretary at the time of booking and a license holder must be sought by the Hirer to apply for a Temporary Events License to run any bar facility.

· All functions, music etc must end at 11.30 pm at the very latest and the Hall and surrounding car park etc must be quiet and unoccupied by MIDNIGHT .

· Use of naked flames and candles is not permitted in the Hall, nor are discos which generate smoke as these set off the fire alarm.

· ALL EXTERNAL ELECTRICAL EQUIPMENT BROUGHT INTO THE HALL MUST BE Portable Apparatus Testing (PAT) compliant .

· Outside cooking, BBQs lit candles fireworks etc ARE NOT PERMITTED

· Parties for children must be supervised. Teenage parties are not permitted.

·  Cleaning materials/bags /brooms are available in the Cleaners unlocked cupboard door on left before kitchen.

· All crockery and cutlery must be washed and put away after your function (commercial dishwasher provided)

· Playing Members of the tennis and bowls club may use the toilet facilities of the Hall during your event but would exit /enter by the Main Door only so should not disturb you

· Various notices give instructions on use of equipment please read them carefully once in the Hall. Please ensure when setting out your tables and chairs that fire exits are not blocked.

· All premises need to be left clean and tidy Ready for the next user

· PLEASE CHECK THAT ALL WINDOWS ARE CLOSED AND ELECTRIC SHUTTERS ARE FULLY DOWN PRIOR TO EXITING THE PREMISES AND MOST PARTICULARLY THAT THE FRONT ROLLER IS COMPLETELY DOWN

OUT OF RESPECT FOR OUR NEIGHBOURS PLEASE ENSURE YOUR PARTY IS CONFINED WITHIN THE HALL BUILDING AND YOUR GUESTS DO NOT USE THE EXTERIOR AREAS FOR DRINKING etc

Rules for Private Hire Booking

· The Main Hall can be hired for private functions and events, by individuals or groups for £40 per hour for 2022

 

· Full sets of cutlery and white crockery are reserved in a locked cupboard for the benefit of hirers for their events

 

· The Ridgway Room which can be hired separately or with the Main Hall at £10.50 per hour in 2022

·  

· Before private hire bookings can be accepted the hirer must fully understand the terms and conditions and pay a £200 damage and good behaviour deposit.

· Late cancellations within a week of the event will result in forfeiting of the damage and good behaviour deposit.
